Project Assistant

[Appointment period: six months]

Duties

The appointee will assist the project leader in the research project - “Joint research centre for primary health care”.  He/She will be required to:

(a)    provide day-to-day administrative and operational support for research project, community programmes, training activities, meetings, workshops, seminars and other project-related events; 

(b)    assist in planning and organising project activities and events, including venue arrangements, participant registration, invitations, scheduling, materials preparation, equipment set-up, refreshments, transportation and other logistical arrangements;

(c)    liaise with research team members, community organisations, healthcare and social service partners, participants, speakers, service providers, and other internal and external stakeholders;

(d)    assist with the recruitment of participants, appointment scheduling, attendance records keeping, reminders sending, enquiries handlings and follow-up activities;

(e)    prepare and maintain project documents, meeting records, filing systems, databases, inventories, correspondence and administrative records;

(f)     assist with purchasing, procurement, reimbursement, payment processing, budget records, quotation collection, and other routine administrative procedures in accordance with University requirements;

(g)    assist in preparing presentation materials, reports, publicity materials, programme materials and other project documentation;

(h)    provide on-site support for community activities, training programmes, meetings, conferences and other events;

(i)     support communication and coordination among the research team and collaborating organisations to facilitate the smooth implementation of project activities; and

(j)     perform any other duties as assigned by the project leader or his/her delegates.

The appointee may be required to work occasionally outside normal office hours.

Qualifications

Applicants should: 

(a)    have an honours degree in a computing-related discipline or an equivalent qualification;

(b)    have practical experience in organising events, workshops, training programmes, community activities, conferences or similar programmes;

(c)    have experience in administrative work, project coordination, office administration or research project support;

(d)    have proficiency in Microsoft Office applications, including Word, Excel, PowerPoint and Outlook, as well as familiarity with online meeting, registration and administrative platforms;

(e)    have a good command of both written and spoken English and Chinese;

(f)     possess strong organisational skills, an attention to detail, and the ability to coordinate multiple activities and meet deadlines;

(g)    possess good interpersonal and communication skills, and the ability to work effectively with different stakeholders; and

(h)    be a responsible, proactive, well-organised and service-oriented, with the ability to work independently as well as collaboratively as part of a team.

Preference will be given to those with (i) experience working with universities, healthcare organisations, non-governmental organisations, community organisations or social service agencies; and (ii) proficiency in Cantonese.
