Assistant Officer

Duties 

The appointee will be required to provide administrative and operational support to the COMAC-PolyU Research Institute for Large Aircraft (RILA), one of the constituent research units under the PolyU Aerospace Research Academy (PARA).  The appointee will be required to:

(a) provide administrative and operational support to RILA;

(b) assist in research projects under RILA and related financial transactions;

(c) coordinate delegation visits, research seminars, workshops and conferences;

(d) monitor and respond to communications received through RILA’s functional email account, coordinate the flow of information, and maintain a systematic and effective records management and filing system;

(e) update the website and promotional materials of RILA, and publicise the latest information about RILA through various social media platforms and channels;

(f)  assist in the compilation and preparation of management reports, papers and presentation materials;

(g) provide comprehensive secretarial support for committee and working group meetings, including meeting coordination, agenda preparation, minute-taking and follow-up actions;

(h) liaise effectively with internal and external stakeholders; 

(i) act as a liaison between RILA and the central administration of PARA to facilitate the implementation of institutional policies, and provide collaborative support for the Academy’s central administrative initiatives as required; and

(j) perform any other duties as assigned by the Director of RILA or his/her delegates, in alignment with the administrative needs of PARA.

Qualifications

Applicants should:

(a) have a good recognised degree and with at least three years of relevant post-qualification experience;

(b) have good communication and interpersonal skills, with the ability to articulate ideas clearly;

(c) be well-organised and attentive to details;

(d) be able to work independently and handle sensitive matters with alertness and prudence;

(e) have good computer literacy with proficiency in Microsoft Word, Excel, PowerPoint and Chinese word processing; and

(f) be able to communicate effectively in both written and spoken English and Chinese, with fluency in Putonghua being an advantage. 

Preference will be given to those with solid relevant work experience in tertiary institutions.

Shortlisted candidates will be invited to sit for a written test. 

Conditions of Service 

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
