Project Officer

Duties
The appointee will be responsible for:
(a) supporting the management of interest groups and engagement activities, coordinating theme-based and networking events to engage alumni and former staff, and strengthen their relationship with the University;
(b) providing secretarial and administrative support to the Federation of The Hong Kong Polytechnic University Alumni Associations and its committees, and liaising with its members;
(c) assisting in the planning and organisation of major alumni initiatives and events, including the ASPIRE Young Alumni Mentorship Programme, Homecoming, Alumni Week, and other related activities;
(d) preparing promotional materials, managing and updating websites and other digital channels; and
(e) performing any other duties as assigned by the Director of the Unit and/or his/her delegates.
The appointee will be required to work outside normal office hours from time to time, including evenings and weekends, to support events and programmes.
Qualifications
Applicants should:
(a) hold a recognised degree, with at least four years of post-qualification work experience in areas such as event management, relationship management, membership services, marketing, communications and/or related fields;
(b) have relevant experience in secretarial support, administration, project coordination or alumni relations;
(c) possess an excellent command of written and spoken English and Chinese (including Putonghua), sound knowledge of and hands-on experience in IT applications such as MS Office, Canva and photo editing tools; knowledge of graphic design and layout design would be a definite advantage;
(d) have good planning, organisational and problem-solving skills, with strong attention to detail; be proactive, creative and highly efficient; and
(e) possess good interpersonal and communications skills, be a good team player, and be able to work independently and meet tight deadlines.
Shortlisted candidates will be invited for an interview and a written test.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
