Executive Assistant

Duties

The appointee will be required to:

(a)    provide administrative support for the daily operations of the general office;

(b)    assist with financial transactions, including purchasing, payment processing and staff claims;

(c)    provide support for human resources matters related to research personnel, and handle sensitive and confidential matters in a professional manner;

(d)    assist in processing salary payments for part-time staff and student helpers;

(e)    provide clerical and logistical support for departmental meetings, events and visits;

(f)    manage the receipt and dispatch of mail and documents within and outside the campus;

(g)    assist in maintaining effective record-keeping and filing systems;

(h)    assist in maintaining inventory records; and

(i)    perform any other duties as assigned by the Head of Department or his/her delegates.

Qualifications

Applicants should:

(a)    have a recognised degree, preferably with relevant post-qualification work experience;

(b)    have a good command of both written and spoken English and Chinese, including Putonghua;

(c)    have good computer literacy, including MS Office and Chinese word processing;

(d)    have good communication and interpersonal skills;

(e)    be a good team player; and

(f)     have a high level of self-motivation, a strong sense of responsibility and the ability to work independently.

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
