Duties
The appointee will be required to:
(a) provide administrative, coordination and logistical support to the programmes and projects organised by the Institute, including academic, research and culture promotion projects;
(b) assist in organising and maintaining the Institute’s media assets (including photos, videos, and graphics publications and books);
(c) handle procurement exercise and assist in preparing publications;
(d) liaise with other internal departments of the University and external organisations;
(e) liaise with visiting guests for the programmes and projects organised by the Institute, in particular, to assist with the organisation and instruction of the Chinese language classes;
(f) assist in coordinating event volunteers and student assistants, including roster scheduling and task assignment;
(g) assist in maintaining and updating the Institute’s social media platforms, including but not limited to Instagram, Facebook and WeChat;
(h) help with content research, draft social media schedules, and submit them to the Director of Institute or designated delegates for approval; and
(i) perform other duties as assigned by the Director of Institute or his/her delegates.
Qualifications
Applicants should:
(a) have a Bachelor’s degree, preferably in Humanities, Cultural Studies, Communications, Event Management, or related disciplines, with one to two years of relevant experience in administration and project coordination (experience in higher education or cultural institutions is preferred);
(b) have good command of written and spoken English and Chinese (including Putonghua), with strong interpersonal skills to liaise effectively with internal departments, external organisations, visiting guests, and to support Chinese language classes;
(c) have proven track record in event coordination and logistical support, with the ability to lead, schedule, and assign tasks to student assistants and event volunteers;
(d) have practical experience in maintaining and updating major social media platforms (including Instagram, Facebook, and WeChat), with the ability to conduct content research and draft post schedules
(e) have good skills in organising and managing digital media assets (photos, videos, and graphics) and assisting in the preparation and design of publications and books;
(f) be a proactive, self-motivated, willing to learn and collaborative team player who is adaptable to change and flexible to work outside of standard office hours (evenings and weekends) for events when required.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be made on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
