Executive Officer / Assistant Officer

The Hong Kong Polytechnic University (PolyU) is going to establish the third research academy, namely PolyU Aerospace Research Academy (PARA) by 1 July 2026.  PARA aims to leverage its strengths in research, talent and international connections to promote PolyU as a world-leading university in aerospace.

Duties 

The appointee will be required to:

(a)    provide secretarial support to the Director/Executive Director of PARA, such as management of his/her calendar;

(b)    handle confidential and sensitive matters, including HR-related administrative tasks, in a professional manner; 

(c)    manage financial and accounting tasks, including overseeing procurement processes, handling reimbursements and claims, and checking invoices;

(d)    provide support for office administration to ensure the smooth daily operation of the Academy; 

(e)    provide logistic support to office meetings and various departmental activities / events;

(f)     liaise with the internal research teams and other units in the University, partner institutions, external stakeholders, government and professional bodies, and handle enquiries; and

(g)    perform any other duties as assigned by the Director/Executive Director of PARA or his/her delegates.

Qualifications

Applicants should have:

(a)    a recognised degree with at least five years of relevant post-qualification work experience; 

(b)    a good command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage;

(c)    excellent communication, organisational, problem-solving, and analytical skills;

(d)    strong attention to detail; 

(e)    practical computer literacy, including proficiency in PowerPoint, Excel, and Chinese word processing;

(f)     a positive working attitude and the ability to work well as a team player; and

(g)    strong self-motivation, with the ability to balance multiple priorities and work independently. 

Preference will be given to those with prior experience in the tertiary education sector, research institutes or technology-related fields. 

Applicants with less experience may be considered for the post of Assistant Officer.

Shortlisted candidates may be invited to sit for a written test. 

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
