Assistant Officer / Executive Assistant

Duties 

The appointee will be required to: 

(a) provide administrative support for temporary staff appointments and related personnel matters for the School;

(b) provide administrative support for various financial claims and payment requests including, but not limited to, part-time staff salary payments, staff reimbursement claims, student project claims and other miscellaneous payment requests from the stakeholders of the School;

(c) process procurement requests and maintain the related database and records for compiling reports;

(d) handle written and telephone enquiries from staff, students and applicants;

(e) assist in departmental meetings, events and perform general office administrative work for the School; and

(f) perform any other duties as assigned by the Dean of the School or his delegates.

Qualifications

Applicants for the Assistant Officer post should have a recognised degree or an equivalent qualification plus not less than three years of relevant working experience in administrative support.

Applicants for the Executive Assistant post should have a recognised degree and preferably some relevant working experience in administrative support.

Applicants should also have: 

(a) proficiency in computer software applications including Microsoft Office and basic database management;

(b) high attention to detail for accurate data input and checking; 

(c) good verbal communication skills in English; and

(d) good teamwork, interpersonal and problem-solving skills.

Applicants with less experience may be considered for the post of Executive Assistant.

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
