School Secretary / Senior Executive Officer

Duties 

The appointee will be required to:

(a)    coordinate and supervise all aspects of administration in the School;

(b)    support and assist the Dean of School in day-to-day operations and management of the School;

(c)    handle the human resources related matters of the School, including recruitment, further appointment, promotion and other staffing matters;   

(d)    lead and manage teams of senior officers and subordinates to support administration in academic programme development/management, research and scholarly activities, and knowledge transfer of the School; 

(e)    oversee teams of officers and subordinates to provide professional administrative support to the School and students;

(f)     provide professional secretarial/administrative support to the committees;

(g)    ensure quality assurance and efficiency enhancement process well in place in the School;

(h)    work closely with academic and central/administrative units, as well as external bodies on all matters relating to the School;

(i)     coordinate, plan and organise School events, projects and functions; and

(j)     perform any other duties as assigned by the Dean of School or his/her delegates.

Qualifications

(a)    have a recognised degree with at least eight years of solid and relevant managerial experience, preferably gained in tertiary institution(s);

(b)    have good knowledge of academic programme and research administration;

(c)    have good experience in budgeting/accounting, human resources management and higher education administration;

(d)    have an excellent command of both written and spoken English and Chinese, including Putonghua;

(e)    have excellent organisational/analytical ability and high level of problem-solving skills;

(f)     have excellent communication and interpersonal skills;

(g)    be self-motivated with a strong sense of responsibility and capability of multi-tasking; and

(h)    have the qualities and charisma of being a team leader as well as a good team player.

Applicants with less experience may be considered for the post of Senior Executive Officer.

Shortlisted candidates will be invited to sit for a written test.

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
