Executive Assistant / Administrative Assistant

Duties 

The appointee will be required to:

(a)    provide administrative and clerical support for the daily operation of the Office and/or programmes;

(b)    provide support in the organisation of the Congregation and other Faculty events;

(c)    perform counter duties and answer general enquiries;

(d)    dispatch documents within and outside the campus;

(e)    provide assistance to the Office in preparation of committees’ meeting documents and in arranging meeting venues, including venue set-up;

(f)    liaise with the University’s internal departments and external organisations; 

(g)    assist in general office administration; and

(h)    perform any other duties as assigned by the Dean of Faculty or his/her delegates. 

Qualifications

Applicants for the Executive Assistant post should have a recognised degree or a recognised Certificate or Diploma with at least three years of relevant work experience.

Applicants for the Administrative Assistant post should have five passes in HKCEE including English Language (at least Grade C if Syllabus A; Level 2 if results are obtained from 2007 onwards), Chinese Language (Level 2 if results are obtained from 2007 onwards) and Mathematics; or a combination of results in five HKDSE subjects of Level 2 in New Senior Secondary subjects / "Attained" in Applied Learning subjects / Grade E in Other Language subjects, and the five subjects must include English Language, Chinese Language and Mathematics.

For both posts, applicants should also:

(a)    have a good command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage;

(b)    have knowledge of computer applications, including MS Office, and knowledge in design software, such as Canva, Adobe Photoshop, Illustrator, and InDesign would be a definite advantage;

(c)    have good teamwork and interpersonal skills; and

(d)    be well-organised and attentive to details.

Preference will be given to those with work experience in tertiary institutions or similar organisations.

Shortlisted candidates will be invited to sit for a written test. 

Conditions of Service 

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
