Duties

The appointee will be required to:

(a)    provide secretarial services to committees, project/working groups and/or task forces as assigned by the Director of Knowledge Transfer and Entrepreneurship or his/her delegates;

(b)    implement a comprehensive system for managing and reporting on the University Accountability Agreement (UAA), University Grants Committee Knowledge Transfer (UGC KT) and institutional KPIs to provide a clear overview of progress and identify any abnormal issues;

(c)    liaise and coordinate with offices/departments/units of the University as well as external organisations for preparing reports, budget, presentation materials, etc.;

(d)    execute institutional management work for process and operation improvements;

(e)    maintain a proper record of all meeting minutes, projects, committee/working group papers, data and other relevant information of the Office;

(f)    lead a team in providing administrative support, coordinating laboratory visits for delegations, and managing the day-to-day operations of the Office; and

(g)    perform any other duties as assigned by the Director of Knowledge Transfer and Entrepreneurship or his/her delegates.

Working on irregular hours including weekday evenings, Saturdays and Sundays, and travelling outside Hong Kong may be required. 

Qualifications

Applicants should:

(a)    have a recognised degree in English Studies, Communication or a related discipline;

(b)    have at least eight years of solid and relevant post-qualification administrative experience at supervisory level, preferably with experience gained in sizable organisations or tertiary institutions;

(c)    have an excellent command of both written and spoken English and Chinese, and preferably with fluency in Putonghua;

(d)    have excellent communication, interpersonal and presentation skills as well as computer literacy;

(e)    have problem-solving and organisation skills with critical thinking mindset; and

(f)    be proactive and professional with the ability to work independently as well as collaboratively in a team.

Shortlisted candidates will be invited to sit for a written test.  

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
