Assistant Officer

Duties
The appointee will be responsible for providing support to the Director of Unit (the Director), and in brand promotion and public relations for the Unit. He/she will be required to:
Administrative and Secretarial Support for the Director
(a) provide comprehensive administrative and secretarial support to the Director including schedule management, travel arrangements and coordination of business receptions;
(b) assist the Director in preparing presentation materials, speeches, reports for domestic and international conferences, seminars and media engagements;
(c) support the Director in ensuring timely completion of related projects, including national research initiatives, award applications and academic collaborations;
(d) assist the Director in financial management tasks, including budget management and expense tracking;
(e) handle sensitive and confidential matters in a professional manner;
(f) leverage cutting-edge technologies such as Artificial Intelligence - Large Language Model or Artificial Intelligence Agents to enhance work efficiency and optimise workflows which includes but not limited to rapidly extracting key points from meeting minutes, drafting reports and press releases and refining presentations, etc.;
(g) communicate effectively with internal and external stakeholders; and
(h) perform any other duties as assigned by the Director of Unit or his/her delegates.
Brand Promotion and Public Relations for the Unit
(i) update the website and disseminate the latest information of the Unit through various media platforms;
(j) develop and execute brand promotion strategies to enhance the Unit’s reputation and visibility in both academia and industry;
(k) lead content creation and dissemination, including writing press releases and articles, and conducting social media campaigns to achieve high media exposure and engagement;
(l) plan and organise high-impact events, such as workshops and academic camps, in collaboration with top-tier institutions and media partners;
(m) build and maintain relationships with key stakeholders, including government agencies, academic institutions and industry leaders to foster partnerships and collaborations;
(n) act as the primary liaison for media interactions, including interview coordination, press release distribution and editorial content review; and
(o) develop and maintain a media matrix, leveraging central, industry-specific and social media platforms to amplify the organisation’s messaging.
Qualifications
Applicants should:
(a) have a recognised degree or above, with at least three years of relevant experience in administrative assistance, brand promotion and public relations;
(b) have good organisational and project management skills, with a demonstrated ability to multitask and meet deadlines in a fast-paced environment;
(c) have experience in organising large-scale academic events such as international academic conferences, workshops and seminars;
(d) have strong communication and interpersonal skills, with the ability to interact effectively with scholars, experts and media professionals, and maintain strong connections with well-known media outlets (such as Phoenix TV, CCTV News, People's Daily Online, etc.);
(e) be proficient in Office Suite, Photoshop, and multimedia tools for content draft, polish and visual identity (VI) design; and
(f) have a good command of both written and spoken English and Chinese, with fluency in Cantonese.
Shortlisted candidates will be invited to sit for a written test.
Preference will be given to those who have experience in the internet/financial industry; public relations of AI; cloud computing or related fields; and/or Fortune Global 500 companies.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
