Assistant Executive Officer / Executive Assistant

Duties
The appointee will be required to:
(a) provide secretarial support to the Head of the Department;
(b) handle information flow, coordinate and compile reports/statistics, manage and maintain an effective record and filing system;
(c) handle sensitive and confidential matters in a professional manner;
(d) handle travel and reimbursement matters independently;
(e) provide administrative support to academic programmes/research matters;
(f) liaise effectively with University’s internal and external stakeholders and handle enquiries;
(g) assist the executive officer(s) in the daily operation of the Department’s general office; and
(h) perform any other duties as assigned by the Head of Department or his/her delegates.
Qualifications
Applicants for the Assistant Executive Officer post should have a recognised degree or an equivalent qualification plus not less than three years of relevant working experience.
Applicants for the Executive Assistant post should have a recognised degree and some relevant working experience.
Applicants should:
(a) have a good command of written and spoken English and Chinese, with fluency in Putonghua;
(b) have good computer skills;
(c) have good communication, interpersonal, liaison and organizational skills;
(d) have a positive working attitude; and
(e) be a good team player.
Preference will be given to those with working experience in tertiary institutions or similar organizations.
Shortlisted candidates may be invited to sit for a written test.
Conditions of Service
A highly competitive remuneration package will be offered. Initial appointment will be on a fixed-term gratuity-bearing contract. Re-engagement thereafter is subject to mutual agreement.
