Senior Executive Officer

Duties 

The appointee will be required to:

(a)    play a versatile role in leading a diverse and sizable administrative team to achieve high performance and facilitating change in the dynamic working environment, in support of a wide spectrum of work related to academic programmes, research administration, finance and human resources, collaborations and marketing, domestic services, etc.;

(b)    support and assist the Head of School to drive the enhancement of the School’s overall strategic development and develop high level reports and strategic documents as required;

(c)    provide executive support to the Head of School in the day-to-day management of General Office and the administration of the School’s quality assurance and enhancement processes, academic staff workload, space and staff management, human resources and finance matters;

(d)    support the Head of School, Associate Heads and Programme Leaders in the School’s planning, development and management of academic programmes as well as supervising the administrative support for academic programmes and related centralized exercises and activities;

(e)    promote efficiency enhancement and develop best practices in School administration;

(f)    oversee the production and quality control of office outgoing documents and publications such as School reports, proposals, newsletters and audio-visual materials;

(g)    supervise and coach administrative staff to achieve operational effectiveness as well as arranging for their continuous professional development;

(h)    foster effective relationship between the School and other internal/external stakeholders on all matters related to administration and operation;

(i)    provide effective administrative/secretarial support to meetings and committees; and

(j)    perform any other duties as assigned by the Head of School or his/her delegates.

Qualifications 

Applicants should: 

(a)    have a recognised degree, preferably a master’s degree;

(b)    have at least eight years of solid and relevant administrative experience at the supervisory level, preferably in tertiary institutions;

(c)    have good knowledge of University academic programme administration;

(d)    have strong leadership and solid experience in change management in dynamic environment;

(e)    be discreet, proactive, flexible and professional with good analytical, problem solving and organisational skills;

(f)    be able to work independently as well as in a team;

(g)    have an excellent command of both written and spoken English and Chinese, preferably with fluency in Putonghua;

(h)    have excellent communication and interpersonal skills; and

(i)    have good computer literacy and be familiar with the use of technology in administration.

Preference will be given to those with experience in human resources and/or financial management in University’s setting.

Shortlisted candidates will be invited to sit for a written test.

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
