Faculty Secretary

Duties 

The appointee will be required to:

(a)    coordinate and supervise all aspects of administration in the Faculty;

(b)    support and assist the Dean in day-to-day management of the Faculty Office;

(c)    assist the Dean in administering the staffing and finance of the Faculty;

(d)    develop and implement administrative policies and procedures in support of academic activities of the Faculty;

(e)    provide secretarial / administrative services for committees at Faculty level;

(f)    coordinate, plan and organise events and/or promotional activities for the Faculty and its constituent departments;

(g)    provide support for quality assurance and academic administration;

(h)    liaise with central units and academic departments on all matters relating to the Faculty;

(i)    lead and oversee a team of officers and subordinates to provide professional administrative support to the Faculty and students; and

(j)    perform any other duties as assigned by the Dean of Faculty or his/her delegates.

Qualifications 

Applicants should: 

(a)    have a recognised degree;

(b)    possess at least eight years of solid and relevant managerial experience, preferably in faculty administration gained in tertiary institution(s);

(c)    possess good knowledge of academic programme and research administration, quality assurance, budgeting, university human resources management and higher education administration;

(d)    have an excellent command of both written and spoken English and Chinese, with fluency in Putonghua;
(e)    have excellent organisational skills and ability to work with committees;

(f)    have excellent communication and interpersonal skills;

(g)    have high level of problem-solving skills and be capable of handling multi-tasks concurrently; and

(h)    have the qualities of both a team leader and a good team player.

Shortlisted candidates will be invited to sit for a written test. 

Conditions of Service

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
