Executive Assistant (Temporary Appointment)

[Appointment period: twelve months initially, with possibility of further appointment]

Duties

The appointee will be required to:

(a)    provide administrative and logistic support to the recruitment and payroll of research personnel, part-time staff and student assistants, and handle sensitive and confidential matters in a professional manner;

(b)    assist in expense payment, petty cash and daily procurement duties such as raising purchase requisitions, order processing, invitations to tender, sourcing of goods and services, and quotation analyses; 

(c)    be responsible for compiling reports and proposals, maintaining records of documentation and database, and organising filing systems;

(d)    provide administrative support to the General Office and School, coordinate meetings and events, and liaise with internal and external parties; and

(e)    perform any other duties as assigned by the Head of School or her delegates.

Qualifications

Applicants should:

(a)    have a recognised degree OR associate degree plus some relevant working experience OR five passes in HKCEE including English Language (at least Grade C if Syllabus A; Level 2 if results are obtained from 2007 onwards), Chinese Language (Level 2 if results are obtained from 2007 onwards) and Mathematics; or a combination of results in five HKDSE subjects of Level 2 in New Senior Secondary subjects / “Attained” in Applied Learning subjects / Grade E in Other Language subjects, and the five subjects must include English Language, Chinese Language and Mathematics plus at least five years of relevant post-qualification working experience;

(b)    be able to communicate in both written and spoken English and Chinese and preferably Putonghua;

(c)    have good computer literacy in MS Word, Excel, PowerPoint and Chinese word processing;

(d)    have good communication, interpersonal and problem solving skills; and

(d)    have a high level of self-motivation and the ability to complete tasks independently.
