Assistant Officer

Duties 

The appointee will be required to: 

(a)    support the planning and coordination of the offering of Chinese subjects for all Undergraduate Programmes in the University; 

(b)    provide administrative support to subject administration, including class timetabling, subject registration, examination and quality assurance related matters;

(c)    assist in the coordination and organisation of the Centre’s activities / events;

(d)    provide secretarial support to committees, working groups and meetings;

(e)    manage the filing systems, update and maintain filing records;

(f)    maintain various databases and websites effectively;

(g)    handle enquiries from staff, students and relevant stakeholders;

(h)    assist the Senior Executive Officer in coordinating the work of administration team to ensure smooth operation of the Centre;

(i)    render support to office administration and daily operation of the Centre, such as staffing and finance matters, compilation of proposals and reports, etc.; and

(j)    perform any other duties as assigned by the Director of the Centre or his/her delegates.

The appointee may be required to work beyond or outside normal office hours occasionally.

Qualifications 

Applicants should: 

(a)    have a recognised degree; 

(b)    have at least three years of relevant working experience, preferably gained in tertiary institutions or similar organisations; 

(c)    have good computer literacy in MS Word, Excel, Acrobat, PowerPoint and Chinese word processing, with knowledge of Generative Artificial Intelligence (GenAI) tools being an advantage;

(d)    have a good command of both written and spoken English and Chinese, with fluency in Putonghua being an advantage;

(e)    have a strong sense of responsibility and self-motivation;

(f)    have good communication, interpersonal, problem solving and time management skills; and

(g)    be detail-oriented and be a good team-player.

Shortlisted candidates will be invited to sit for a written test. 

Conditions of Service 

A highly competitive remuneration package will be offered.  Initial appointment will be on a fixed-term gratuity-bearing contract.  Re-engagement thereafter is subject to mutual agreement.
